Overview of the role:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team on a temporary four month basis as maternity cover.

The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office.  We are looking for someone with lots of initiative, who can see what needs doing and help make it happen.

Responsibilities:

Administrative Support: Provide day-to-day administrative support, including managing calendars, scheduling meetings, maintain a well-organized and tidy office environment, including ordering and managing office supplies, handling incoming mail, and coordinating office equipment maintenance.

Data Entry and Documentation: Accurately maintain various data in databases, spreadsheets, Salesforce, Quickbooks and other systems. Prior experience is not needed, but an ability to learn is essential.

Communication: Serve as a point of contact between team members and external parties. Answer and direct phone calls, emails, and inquiries promptly and professionally. Oversee some social media output.

Meeting Coordination: Coordinate and schedule meetings, prepare meeting agendas, and provide necessary materials.

Expense Management: Track and manage expenses, process reimbursements, and maintain accurate records.

Maintaining Confidentiality: Handle sensitive information with discretion and maintain a high level of confidentiality.

Qualifications:

Proven experience as an administrative assistant or in a similar role.

Proficient in MS Office suite (Word, Excel, Outlook).

Willingness and ability to learn how to manage Salesforce, Quickbooks and other systems.

Attention to detail and can-do attitude.

Excellent organizational and time-management skills.

Strong written and verbal communication skills.

Ability to multitask and prioritize tasks effectively.

Professional demeanor and positive attitude.

Knowledge of basic office equipment and procedures.
